To protect our rights, property, and safety, and the rights, property, and safety of our clients, Talent, and other parties.
To comply with legal obligations and to enforce our Terms of Service and other agreements.

4. How We Share Your Information

We do not sell your personal information. We may share your information in the following circumstances:

4.1 Service Providers

We engage trusted third-party service providers to perform functions on our behalf, including website hosting, scheduling (Calendly), email and communications platforms, payment processing, cloud storage, analytics, and production support vendors. These providers are contractually obligated, or otherwise required by their own terms, to use your information only for the purposes we specify and to maintain appropriate security measures.

4.2 Clients and Brand Partners

In connection with our content production services, Talent information (including name, likeness, voice, and release records) may be shared with the applicable client as necessary to support the licensed use of delivered content. We do not share Talent personal information with clients beyond what is required for the specific engagement.

4.3 Legal Compliance and Protection

We may disclose your information if required to do so by law, regulation, legal process, or governmental request, or if we believe in good faith that disclosure is necessary to: (a) comply with applicable law or legal process; (b) protect and defend our rights, property, or safety; (c) protect the safety of our users, clients, or the public; (d) detect, prevent, or address fraud or security issues; or (e) enforce our Terms of Service or other agreements.

4.4 Business Transfers

In the event of a merger, acquisition, reorganization, sale of assets, or bankruptcy, your information may be transferred to the acquiring entity or successor. We will provide notice before your information becomes subject to a different privacy policy.

We recognize that client data — including brand assets, creative briefs, marketing strategies, campaign performance data, product information, customer insights, and business plans — constitutes highly sensitive confidential information and proprietary intellectual property. We maintain the following protections:

Client data is stored in access-controlled environments with role-based permissions limited to personnel with a legitimate need to know.
All roomtone personnel, contractors, and agents with access to client data are bound by written confidentiality obligations.
Client data is not used for any purpose beyond the specific engagement for which it was provided, unless otherwise authorized in writing by the client.
Client data is not shared with other clients, competitors, or unauthorized third parties under any circumstances.
Upon termination or expiration of a client engagement, client data will be returned or securely destroyed in accordance with the applicable engagement agreement and our retention policies.
roomtone does not use client data, deliverables, or campaign materials to train, develop, or improve any artificial intelligence or machine learning system without the client's express prior written consent.

7. Cookies and Tracking Technologies

The Site may use cookies, web beacons, pixels, and similar technologies to support its operation, remember preferences, and understand how visitors interact with the Site. The categories we may use include:

If we become aware that we have collected personal information from a child under 18 without appropriate consent, we will take reasonable steps to delete such information promptly.

10. Data Retention

We retain personal information for as long as necessary to fulfill the purposes described in this Privacy Policy, comply with our legal obligations, resolve disputes, and enforce our agreements. Specific retention periods vary based on the type of information and the purpose for which it was collected:

Client engagement records and deliverables — retained for the duration of the engagement plus seven (7) years for legal and compliance purposes.
Talent releases and consent records — retained for the duration of the applicable license, which may be indefinite, as these records evidence the legal basis for content usage.
Inquiry and prospect records — retained for up to twenty-four (24) months from the last interaction unless deletion is requested earlier.
Site analytics data — retained in accordance with the policies of our analytics providers.
